General Statement of Job
Serves as the assistant city clerk for the City of Venice. Provides diversified complex and confidential administrative support for departmental functions and operations.

In addition, certain essential city services are required to be maintained in any civil emergency. Depending upon the type of emergency, any and all employees may be activated as essential employees in the event of an emergency.
Specific Duties and Responsibilities
- Prepares ordinances, resolutions, and public notices ensuring compliance with state and federal laws.
- Coordinates and prepares the agenda and background material for city council and code enforcement board meetings.
- Researches and coordinates records requests in accordance with state and local policies and acts as the records coordinator for the City Clerk’s department.
- Performs a variety of management and administrative functions including assisting with departmental budget preparation; monitoring expenditures; managing the annexation process; and assisting with development of departmental goals and objectives.
- Acts as liaison with elected officials, the public and city staff.Responds to questions, complaints and provides general assistance.
- Assists City Clerk with organizing city elections.
- May authenticate written instruments obligating the City for payment of monies.
- Carries out the duties and responsibilities of the city clerk, as required.
Responsible for the accuracy and timeliness of all assigned functions and the effectiveness of administrative interpretations and decisions. Completes all assignments in compliance with Florida Statutes and city codes. Responsible in work to the City Clerk.
Minimum Education and Training
Bachelors Degree and five (5) years of progressively responsible administrative experience preferably in the public sector;
Associates Degree and seven (7) years of progressively responsible administrative experience preferably in the public sector.
Certified Municipal Clerk preferred.
Minimum Qualifications and Standards Required
Working knowledge of governmental procedures and processes. Ability to interact with the public in a professional, respectful manner and deal with difficult people with courtesy and self-control. Must be able to work independent of direct supervision and capable of sustaining regular and predictable attendance. Ability to prioritize and complete multiple tasks and handle the pressure of deadlines. Possess excellent listening, speaking and communication skills. Ability to establish and maintain effective working relationships with supervisor, co-workers, elected officials, board members, other governmental agencies and the general public. Possess a valid Florida Driver’s license (or valid out-of-state driver’s license), free of any serious violations. Out-of-state applicants have 30 days from start of employment to attain a valid Florida Driver’s License.
Requires a working knowledge of the current version of the Microsoft Office Professional software suite including Word and Excel. Must have a basic understanding of the current version of the Microsoft Windows operating system. Familiarity with Superion Software applications based on an iSeries system is preferred. Working knowledge of the current versions of Microsoft Outlook and Internet Explorer is also highly recommended. Ability to learn specific computer applications used in the City Clerk’s Office.
Work is essentially sedentary with occasional walking, standing, bending, stooping, lifting or minimal physical exertion. Requires finger and wrist dexterity and hand/eye coordination to operate standard office equipment. Must have good eyesight and hearing with or without aids; and speak clearly and distinctly. Must be capable of functioning in a fast-paced, high-stress environment with multiple priorities. Reasonable accommodation will be considered for individuals with physical disabilities.
Work is primarily performed in an office environment.
